Sectors / Facilities Management
Facilities management tenders are won on the detail of delivery. Buyers need to see how buildings will be maintained, teams supervised and problems resolved without disrupting the people using the estate. We help FM providers turn operational knowledge into clear, specific tender responses.
Our support covers hard FM, soft FM, cleaning, grounds maintenance and integrated services. Whether you are bidding for a single building or a dispersed estate, we build the response around the service specification, asset information and contract measures, rather than relying on a generic description of your business.
How we support your bid
- Mobilisation and service continuity: Explain site surveys, asset verification, staffing, training and the transition from the incumbent, with responsibilities and milestones.
- Maintenance and compliance: Describe planned and reactive workflows, escalation, subcontractor controls and how records will demonstrate the required inspections and checks.
- Cleaning and soft services: Connect task frequencies, supervision and quality audits to occupancy patterns, site risks and the buyer’s expected outcomes.
- Performance and value: Present CAFM reporting, response times, customer feedback and practical improvements that your operations team can deliver.
Relevant frameworks and buyers
The Government Commercial Agency’s Facilities Management and Security Services framework (RM6378) covers total, hard and soft FM as well as security. GCA replaced Crown Commercial Service (CCS), so older tender documents may use the CCS name. Its scope includes services such as cleaning, maintenance, landscaping and helpdesks.
For suppliers, the important distinction is between winning a place on a framework and winning an individual contract through it. We can support framework applications when advertised and competitive call-off bids where your business is eligible. The lot, service scope and geographical coverage should shape the evidence selected.
Building a credible submission
Useful starting material includes an example mobilisation plan, anonymised performance reports, maintenance or cleaning schedules, site audit results and case studies of comparable estates. Your team confirms any staffing assumptions, costs and service commitments before submission.
A practical question
Can you write a cleaning tender without taking on the whole bid?
Yes. We can work on selected quality questions, review an existing draft or manage the full tender. For a cleaning bid, we would usually begin with the specification, proposed staffing model and evidence of supervision and service quality.
